Many customers use Atlassian products for various purposes that were not necessarily in focus when the products were developed. For example, it is no longer just the IT department that uses Jira for bug tracking, programming or support tickets, but entire companies with all their departments. And as is the case in life, through this other challenges arise for the tool and its users.
This was also the case with a customer from Jodocus GmbH. Here, all files of a legal department were mapped digitally. Anyone who has ever seen a classic file folder knows that it contains a lot of information, which are very important. Some are more important than others, some are good to know about and some increase in priority as soon as a cross is set or a date is reached (keyword deadlines).
So instead of spending time "running through the halls" lawyers, the staff and clients could finally gather information at the same time. Without any "ring binders" at all.
For digitally mapping the binders inserts Jodocus GmbH worked with tabs. So far so smart.
Now, as already mentioned, some information is only important if it is shown or if other accompanying circumstances occur. In our case we take the example of deadlines. Reaching or missing them can have negative consequences, which must be avoided. But: Do we want to permanently see the field on the first page for the one case out of 23? Of course not. This is where our app Colorful Labels and automations in Jira come in handy.
The legal department thought about which information is important – but only when it is available – and created colorful labels.
What happens here anyway? The trigger is the change of a field. In our case two date fields. Now you could write the same label more often into the same field. Therefore we first check if the Colorful Label field already contains the value we want to write into it. If it doesn't, the automation should update the field and add the text that will be displayed in color later (main deadlines).
And bang, it is shown if something needs to be taken into account when processing the files.
